Event Booking Terms and Conditions

Version 1 · Last updated October 2026

These terms apply to every booking of our first-floor event rooms: parties and celebrations, wakes, weddings, meetings and conferences. Please read them before you sign your booking form. If you have a question about anything here, call our events team on 01480 434700 or email events@bramptonparkgc.co.uk.

The key points

  • Your booking is confirmed when we have your signed form and the room hire fee (clause 3.4).
  • Cancellation charges depend on how much notice you give (section 7).
  • No confetti, glitter or fixings on walls and ceilings, and fire exits must stay clear (sections 10 and 13).
  • Your suppliers must be agreed with us and take all their rubbish away (section 11).
  • Extra cleaning and damage are charged at reasonable cost (section 14).

1.  About these terms and who we are

1.1  These terms apply when you book any of our first-floor event rooms. Please read them before you sign your booking form.

1.2  We are RB Golf Ltd, trading as Brampton Park Golf Club. We are registered in England and Wales under company number 07548645. Our registered office and trading address is Buckden Road, Brampton, Huntingdon, Cambridgeshire PE28 4NF.

1.3  You can contact our events team on 01480 434700 or at events@bramptonparkgc.co.uk.

1.4  If you book as a private individual, you have legal rights under the Consumer Rights Act 2015. Nothing in these terms takes those rights away. Clause 15.5 contains a few extra terms that apply only when a business books with us.

1.5  Your contract with us is made up of these terms, your signed booking form and your booking confirmation. If they conflict, the booking form and confirmation take priority over these terms.

3.  Making a booking

3.1  You must be 18 or over to make a booking.

3.2  We can hold a date for you provisionally for up to 10 days while you decide. A provisional hold is not a booking.

3.3  We send you a booking form to sign online through SignWell. An electronic signature is as binding as a signature on paper.

3.4  Your booking is confirmed, and a contract is made, when we have received both your signed booking form and payment of the room hire fee (or any smaller amount we agree in writing). We will then send your booking confirmation. Please check it carefully and tell us straight away if anything is wrong.

3.5  No 14-day cooling-off period. The law usually gives a 14-day right to cancel contracts made online or by email. That right does not apply to services related to leisure activities or catering provided on a specific date (regulation 28(1)(b) of the Consumer Contracts Regulations 2013). Your booking is for a specific date, so section 7 explains what happens if you cancel.

3.6  A booking is for the person or business named on the booking form. You cannot transfer it to anyone else without our written agreement.

4.  Prices and payments

4.1  Prices for private bookings include VAT. Prices for meetings and conferences are shown excluding VAT, and VAT is added to the invoice.

4.2  You pay:

What When
Room hire fee When you book, to confirm your booking (clause 3.4)
Food 2 weeks before your event, when you confirm final numbers and choices
Drinks packages On the day of your event or before
Bar spend and any extras ordered on the day Before you leave
Any minimum-spend shortfall, cleaning or repair costs Within 14 days of our invoice

4.3  Room hire fee. The room hire fee in your booking confirmation is fixed and will not change.

4.4  Food and drink prices. Food and drink are charged at our published prices for the year of your event. If those prices have not been published when you book, we will tell you them at least 8 weeks before your event. If any price has gone up, you may cancel or change the affected items without charge.

4.5  Friday and Saturday evening minimum spend. Events in the Event Suite on a Friday or Saturday evening (4pm to midnight) have a minimum spend, shown on your booking form: £500 for events in 2026 and £530 for events in 2027. Room hire, pre-ordered food and drinks packages, and everything bought at your event bar count towards it. If your total spend is less, we will invoice you for the difference after your event.

4.6  If you do not pay an amount when it is due, we will remind you in writing. If it is still unpaid 14 days after our reminder, we may treat your booking, or the unpaid package, as cancelled by you, and section 7 will apply.

4.7  You can pay by bank transfer, or by card over the phone or in person. Our bank details are on your booking form and invoices. We will never change our bank details by email: if you receive an email saying they have changed, call us on 01480 434700 before you pay.

5.  Members’ discounts

5.1  Club members can book with a discount: 7-day members receive one free room booking each membership year, and 5-day members receive 50% off room hire.

5.2  The discount depends on the member’s membership being paid up on the date of the event. If the membership has ended or is in arrears by then, we may charge the amount that was discounted. It is payable within 14 days of our invoice.

6.  Changing your date or numbers

6.1  Changing your date. Email us to ask. We will try to help, but a new date depends on availability and our agreement. We will hold a new date for you for 24 hours while we arrange the change.

6.2  We may charge an administration fee of £180 (£150 plus VAT) to move your date, to cover costs we have already incurred. The new date is charged at the prices for that date. If they are higher, you pay the difference to confirm the move. If they are lower, we take the difference off what you still owe, or refund it.

6.3  Your original date stands until we confirm the change by email. Please tell your own suppliers about the new date.

6.4  Numbers. Give us your final numbers and food choices 2 weeks before your event. We charge for the final numbers you give us, or for the number of guests who attend if that is higher. You may not go over the maximum capacity of the room you have booked.

7.  If you cancel

7.1  To cancel, email events@bramptonparkgc.co.uk or call us. Your cancellation takes effect on the day we receive it, and we will confirm it by email. Telling your suppliers does not cancel your booking with us.

7.2  The charges below reflect the costs we expect to lose when a date is cancelled at that stage, because the room is hard to re-let at short notice.

When you cancel What you pay
More than 3 months before your event Nothing. We refund the room hire fee in full, less any costs we have already spent on your event, such as items ordered for you
Between 1 and 3 months before 50% of the room hire fee
Less than 1 month before 100% of the room hire fee
7 days or less before 100% of the room hire fee, plus your pre-ordered food and drinks packages, less any savings we make, such as food we have not yet bought

7.3  Free or discounted member bookings. If a member, or a member of staff, cancels a free or discounted booking less than 1 month before the event, we may charge £350 towards our lost costs.

7.4  If we re-let your date. If we take another booking for the same room on the same date, we will refund what you have paid, less our reasonable costs and any food or drink we had already bought for your event.

7.5  We will invoice any amount due within 14 days of your cancellation, payable within 30 days. Any refund will be paid within 14 days of your cancellation, or of the date we re-let the room.

7.6  We recommend event insurance, which can cover cancellation for reasons such as illness or bereavement.

8.  If we have to cancel or change your booking

8.1  We will only cancel your booking if we have to, for example because the building cannot be used, or because you have seriously broken these terms (clause 8.4).

8.2  If we cancel for any reason other than your breach, we will tell you as soon as possible and offer you another date at no extra cost. If you do not want another date, we will refund everything you have paid us within 14 days.

8.3  If we need to make a change to your booking, such as moving you to a different room of a similar size, we will tell you as soon as we can. If the change is significant and you do not accept it, you may cancel and receive a full refund.

8.4  We may cancel your booking if you fail to pay (clause 4.6), if we reasonably believe the event will break the law or our licence, or if the nature of the event is materially different from what you told us. In those cases section 7 applies as though you had cancelled.

9.  Using the room

9.1  You have exclusive use of the room you book, at the times in your booking confirmation. The Event Suite and Event Space 1 include the first-floor bar and balcony. Event Space 2 includes access to the balcony.

9.2  Half days usually run from 8am to 3pm, or 5pm to midnight. Your set-up and clear-away must happen within your booking times unless we agree otherwise in writing.

9.3  Please visit the room before you book, and again shortly before your event, to check it suits you. We will tell you about any significant changes to the room that we know of.

9.4  The rooms are on the first floor. There is no lift, but there is a stairlift. Please tell us in advance about any guests who may need help.

9.5  Children must be supervised by an adult at all times, including on the balcony and the stairs.

9.6  Guests must not go onto the golf course, practice areas or other parts of the club unless we agree.

10.  Decorations

10.1  You are welcome to decorate the room. Please tell us your plans at least 2 weeks before your event, and ask us if you are unsure whether something is allowed.

10.2  Not allowed:

  • confetti, glitter, table scatter or rose petals of any kind, inside or outside the building
  • balloons filled with confetti or glitter, confetti cannons and party poppers
  • fixing anything to the walls, ceilings, beams, windows, doors, light fittings or furniture with tape, Blu Tack, pins, nails, staples, glue or adhesive hooks
  • anything that covers, blocks or hides a fire exit, exit sign, fire door, fire extinguisher, fire alarm point or smoke detector
  • anything fixed to or hung from the ceiling

10.3  Welcome: freestanding displays and backdrops, table centrepieces, balloon arches and bunches that are freestanding or weighted, and decorations that rest on tables without being fixed.

10.4  Helium balloons must be weighted. Balloons that escape to the ceiling can set off our fire detectors and are costly to remove.

10.5  All decorations must be taken down and taken away at the end of your booking, unless we agree in writing to a later collection time. Anything left behind may be disposed of after 14 days.

10.6  If a decoration breaks these rules or is unsafe, our staff may ask for it to be changed or may remove it.

10.7  If decorations cause extra cleaning or damage, section 14 explains what we charge.

11.  Suppliers, entertainers and decorators

11.1  You may use your own suppliers, but each one must be agreed with us in advance. Please give us each supplier’s name and contact details at least 2 weeks before your event. We may refuse a supplier for good reason, for example if they have previously broken these rules.

11.2  You are responsible for your suppliers and for making sure they know these terms. Our agreement with you does not cover their services, and they may have their own terms.

11.3  Every supplier must:

  • arrive, set up and clear away within your booking times, or at times we agree in advance
  • take away all their equipment, packaging, offcuts, waste and rubbish, including balloon offcuts, wrappings, foliage and empty boxes. Our bins are not for supplier waste
  • leave the room within 40 minutes of the end of your event
  • carry public liability insurance of at least £5 million and show us proof if we ask
  • use only electrical equipment that has been safety (PAT) tested
  • follow the decoration rules in section 10 and any reasonable instructions from our staff

11.4  We may refuse entry to, or ask to leave, any supplier who has not been agreed with us or who is behaving unsafely.

11.5  If a supplier leaves rubbish or causes damage, we will charge you under section 14. You can then recover the cost from your supplier.

11.6  We are not responsible for the services your suppliers provide. Any suppliers we recommend are independent businesses, and your contract for their services is with them.

12.  Food, drink and licensing

12.1  All food and drink at your event must be supplied by us, unless we agree otherwise in writing. A celebration cake from your own baker is usually fine if you agree it with us first.

12.2  Please tell us about any allergies or intolerances when you confirm your food choices. Our kitchen handles common allergens, so we cannot guarantee any dish is completely free of them.

12.3  Buffets are served for 2 hours. Evening buffets finish at 10pm.

12.4  We sell alcohol under our premises licence. By law our staff must refuse to serve anyone under 18, anyone buying for someone under 18, and anyone who appears drunk. We operate Challenge 25.

12.5  Guests must not bring their own alcohol onto the premises.

13.  Fire safety and health and safety

13.1  Fire exits are signposted throughout the building. Please make sure your guests know where they are. If the fire alarm sounds, everyone must leave by the nearest exit and gather at the assembly point in the car park.

13.2  Fire exits, exit routes, fire doors, extinguishers and alarm points must be kept clear and visible at all times. This is a legal requirement under the Regulatory Reform (Fire Safety) Order 2005.

13.3  The following are not allowed inside the building, unless agreed in writing with management beforehand: candles or other naked flames (battery candles are welcome), sparklers, fireworks, sky lanterns, and smoke, haze or bubble machines.

13.4  You and your suppliers must take reasonable care to avoid injury to anyone and damage to the building, and follow any safety instructions from our staff.

13.5  The number of guests must not exceed the capacity of the room you have booked.

14.  Damage, cleaning and guest behaviour

14.1  Please leave the room as you found it, apart from normal tidying after a party. Our staff clear the tables and do the normal clean.

14.2  Extra cleaning. If the room needs cleaning beyond normal tidying, we will charge the reasonable cost. This includes removing confetti or glitter, removing tape or adhesive marks, clearing decorations or supplier rubbish left behind, and cleaning up after damage or misuse. Staff time is charged at £20 per hour, and any specialist cleaning at cost.

14.3  Damage and loss. You are responsible for the reasonable cost of repairing or replacing anything damaged, or taken, by you, your guests or your suppliers. This includes repainting or redecorating marked walls or ceilings, and any call-out charge if a decoration or misuse sets off the fire alarm. You are not responsible for normal wear and tear, or for damage we cause.

14.4  We will tell you within 7 days of your event if we plan to charge you, with photographs and an explanation. We will then send an invoice showing the costs, payable within 14 days. You can ask us for receipts or quotes.

14.5  Behaviour. You are responsible for the behaviour of your guests and suppliers. If anyone behaves in a way that is unsafe, unlawful, abusive or seriously disruptive, our staff may ask them to leave, stop the bar service or, as a last resort, end the event early. If we end the event early because of behaviour, you will not receive a refund.

15.  Our responsibility to you

15.1  We will provide our services with reasonable care and skill, and as described in your booking confirmation.

15.2  Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.

15.3  We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care. Loss is foreseeable if it is obvious it will happen, or if we both knew it might happen when the contract was made.

15.4  We are not responsible for personal belongings, gifts or equipment left in the room, unless the loss or damage is caused by our negligence. Please take everything with you at the end of your event.

15.5  If you book as a business: we are not liable for loss of profit, business, revenue or goodwill, or for any indirect loss. Our total liability to a business customer is limited to the total price paid for the booking.

16.  Events outside our control

16.1  We are not responsible for delays or failures caused by events outside our reasonable control. Examples are fire, flood, severe weather, loss of power or water, a public health emergency, or a government or local authority order that closes us or limits numbers.

16.2  If such an event affects your booking, we will tell you as soon as possible and offer you another date at no extra cost. If you do not want another date, we will refund what you have paid for the parts of the booking we cannot provide.

17.  Your personal information

17.1  We use your details to manage your booking, take payments and keep in touch about your event, as explained in our Privacy Policy.

17.2  We use CCTV inside and outside the clubhouse for safety and security. Signs show where it operates.

17.3  Please tell us if your contact details change before your event.

18.  Complaints, law and other terms

18.1  If something is not right on the day, please tell the duty manager straight away so we can try to put it right. Otherwise, email events@bramptonparkgc.co.uk within 14 days of your event, and we will reply within 14 days.

18.2  We may update these terms from time to time. The version in force when you sign your booking form applies to your booking.

18.3  If a court decides that part of these terms cannot be enforced, the rest still applies.

18.4  If we do not enforce a term straight away, we can still enforce it later.

18.5  Only you and we have rights under this contract. Nobody else can enforce it under the Contracts (Rights of Third Parties) Act 1999.

18.6  These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute. If you live in Scotland or Northern Ireland, you may also bring proceedings in your local courts.
